Terms of Service

Booking terms for Kilinyota Safaris: deposits and payment, changes and cancellations, insurance requirements, responsibilities and the limits of our liability.

These terms apply to safaris, Kilimanjaro climbs and coastal holidays booked with Kilinyota Safaris. They are written to be readable; if anything is unclear, ask us before you pay a deposit.

Quotations and confirmation

A quotation is valid for the dates and services listed and is not held until confirmed. Rates depend on availability, park fees and season, and can change until a booking is confirmed in writing and a deposit received.

Deposits and payment

  • A deposit is required to confirm your trip and secure lodges, permits and internal flights
  • The balance is due before travel, on the date stated in your confirmation
  • Bank charges and transfer fees are payable by the client
  • Some lodges and peak-season dates require earlier or non-refundable payment; we will tell you when this applies

Changes by you

We will always try to accommodate changes to dates, routing or group size. Where suppliers charge amendment fees, or where a rate no longer applies, those costs are passed on at cost.

Cancellations

Cancellation charges depend on how close to departure you cancel and on the terms of the lodges, airlines and park authorities already committed. The applicable scale is stated in your booking confirmation. Cancellations must be sent to us in writing.

Changes by us

Occasionally a route must change — weather, road conditions, park closures, wildlife movement or lodge availability. Where that happens we substitute accommodation and activities of a comparable standard and tell you as early as possible.

Insurance

Comprehensive travel insurance is a condition of travelling with us. It should cover medical treatment and emergency evacuation, trip cancellation and curtailment, and baggage. For Kilimanjaro it must explicitly cover trekking to the altitude of your route. Zanzibar additionally operates a mandatory inbound insurance scheme for visitors.

Health and fitness

You are responsible for telling us about medical conditions, dietary requirements and mobility needs that affect your trip. Kilimanjaro climbs require a reasonable level of fitness; our crews monitor climbers daily and a guide’s decision to descend a climber for safety reasons is final.

Passports, visas and entry

Valid travel documents, visas and any required vaccinations are the traveller’s responsibility. We are glad to advise, but we cannot be liable for refused entry or missed travel arising from incomplete documents.

Behaviour and safety

Guides’ instructions regarding wildlife, park rules and safety must be followed. We may end a trip without refund in the rare case that a traveller’s conduct endangers others.

Liability

We plan and coordinate your trip with care and select suppliers on their record. We are not liable for loss, delay or injury caused by events outside our reasonable control, including weather, flight disruption, road conditions, illness or the acts of independent suppliers.

Complaints

If something is not right, tell your guide or our office during the trip so we can fix it while you are still with us. Anything unresolved should be sent to us in writing within 30 days of your return.

Governing law

These terms are governed by the laws of the United Republic of Tanzania. This version was last reviewed in August 2026.
